Read a copy of your lease

Not all copier leases are the same. Make sure you review your leasing agreement before you sign it. Two things to look for are:

  1. Is the maintenance agreement “baked” into the leasing agreement? If so, make sure you are comfortable with the maintenance company, because you will not be able to move to a new maintenance company for the duration of the lease. Alternatively, you can always ask the copier dealer to split the two agreements, making the maintenance agreement a yearly contract.
  2. Are you about to sign an evergreen lease? If so, stop and think! Evergreen leases are a particular breed of leasing agreements that automatically renew, unless you send a cancelation notice to the bank within the allowed time window. Let’s say that you signed a 60-month evergreen lease, and that your “cancelation window” is no more than 90 days and no less than 30 days before the end of the lease. This means that, unless you send them a notice between 90 and 30 days before your lease reaches its maturity, your lease will automatically renew for a full sixty months. You would be paying for your copier twice, and are stuck with the same machine for another five years!

What is the difference between leasing a copier and renting a copier?

Usually, renting a photocopier is the right solution for companies that need a machine in a different location for a short period of time (a few weeks to a few months). This is because:

  • Rentals are usually more expensive, per month, than leases;
  • At the end of the rental, you can’t keep the machine, whereas a lease allows you to pay the bank the residual value, up to a single dollar, to own the machine at the end of the lease term;
  • Rentals are usually not brand-new machines: just like a car, a rental will provide a machine that’s came from another location, where it was rented;
  • Rentals do not allow you to configure the machine the way you want, because the stable of copiers is limited.
